Email is a valuable tool...
but like anything else it must be used wisely to be effective.


Email has become one of the most powerful, useful, and underappreciated tools available to us. But, each and every day we’re overwhelmed with junk email. With this massive amount of incoming email it’s important that you make the messages you send stand out from the mediocre crowd.

Tips for Effective Emails

Always think about your audience. For some messages it is absolutely appropriate to send a short post it note, and others demand a more formal style.

Use correct punctuation regularly and avoid the overuse of capital letters.

Consider your Corporate Branding when making decisions about colours and fonts in your emails. Consistency is the key to the success of a unified corporate image.

Use BCC and CC correctly. When sending a message to a group of people, you may want to use BCC. Otherwise you may be revealing names and email addresses of recipients who should not be known to each other.

Consider the use of high quality standardized signatures. See below for more information about this valuable option.

Be careful not to attach files that are too large. If the file is larger than a couple of MB, you may want to choose an alternative method of transmission.

Provide clear, concise, and descriptive subject lines. A good subject line will instantly draw the attention you desire and will help your recipient find and retrieve your email in the future.


Email signatures are a great way to promote corporate branding. They allow for a consistent message from your company with all staff using the same format.

Spam filters have forced email signatures to become simpler in recent years. Many filters will block images such as logos. That doesn't mean you can't have a great signature though, be creative!

Sig Quote : is a quote, proverb, joke, maxim etc. added to the bottom of your email message to convey something about you, your  philosophical beliefs, sense of humour etc. Sample: Be careful of your thoughts, they may become words at any moment.

Spam: is the junk email you receive, on a daily basis, that is generally unsolicited - we hope this message isn't one of them! :)
